1. Who We Are
“Macrox” (“we”, “us”, “our”) operates the Macrox mobile app and related backend services.
If you have questions, contact us at pri@eatease.ai.
2. Information We Collect
2a) Information You Provide
- Account & profile: name, email, password (stored securely), gender, height, weight, birth date, fitness goals, training tags, bio, and profile photo (optional).
- Location & discovery: city/region you enter manually, coordinates if you choose “Use Current Location,” gym or training preferences, and discovery settings (visibility, distance, same-gender filter, city visibility level).
- Food & nutrition logs: meal photos, meal names, macros, text descriptions, saved meals, and optional notes.
- Health tracking (optional): weight logs, body measurements, water intake, progress photos, streak history, and weekly summaries.
- Receipt & inventory: receipt images and extracted item details you choose to save.
- Coach & reminders: coach message preferences, reminder settings, and notification preferences.
- Chat & communities: direct messages, group messages, attachments, shared meals, community membership, and posts you create.
- Safety reports: report reason and optional description when you report a user, message, or community content.
- Purchases & subscriptions (iOS): when you buy Macrox Pro, purchase is processed by Apple In-App Purchase / App Store. We receive subscription status, product identifiers, and transaction identifiers needed to unlock Pro — we do not receive your full Apple ID password or full card number.
2b) Automatically Collected Information
- Device information: device model, operating system version, app version, and language/time zone.
- Usage & diagnostics: feature usage events, crash logs, performance metrics, and timestamps.
- Push tokens: device notification tokens (e.g., Firebase Cloud Messaging) if you enable notifications.
- Precise location: only when you grant permission and choose location-based features (e.g., setting city or discovery).
- Sign-in providers: if you use Google Sign-In, we receive basic profile identifiers from Google as allowed by your Google account settings.
We do not intentionally collect government-issued identifiers or medical diagnoses.
Nutrition outputs are estimates and are not medical advice.
3. How We Collect Information
- Directly from you when you register, complete onboarding, log food, use chat, join communities, or change settings.
- Automatically from the app and device for diagnostics, security, and performance.
- From device permissions such as camera, photo library, notifications, and location — only when you grant them.
- From third-party sign-in (e.g., Google) when you choose that login method.
- From our backend services needed to operate accounts, chat, storage, and AI features.
4. How We Use Your Information
- Provide core features: meal tracking, macros, inventory, coach insights, streaks, water/weight tracking, and progress photos.
- Power social features: chat, meal sharing, user discovery, communities, and recommendations (subject to your privacy settings).
- Generate nutrition estimates and AI-assisted scan results when you request them and grant AI consent.
- Deliver reminders, coach messages, and app-related notices (if enabled).
- Maintain safety: block lists, reports, moderation, spam prevention, and abuse enforcement.
- Process and restore Macrox Pro subscriptions purchased through the App Store, and sync Pro access to your Macrox account.
- Improve reliability, debug issues, and understand feature usage (aggregated where possible).
5. AI Processing and Data Sharing (User Consent Required)
Some features use AI to generate outputs such as nutrition analysis and receipt item extraction.
Before any personal data is sent to a third-party AI service, we ask for your explicit permission in-app.
5a) AI Service Provider (“Who receives it”)
- OpenAI is our third-party AI service provider for AI-powered analysis.
- Data is sent to OpenAI through our backend servers only when you request an AI feature and you have granted permission.
5b) Exactly What Data We Send to OpenAI (“What data is sent”)
We send only the minimum data needed to process your AI request:
- Food Scan: the meal photo you select + any text you enter with it (optional).
- Describe Meal: the meal description text you type.
- Receipt Scan: the receipt photo you upload (used to extract item names/details for your inventory).
5c) What We Do NOT Send to OpenAI
- Your full profile (name, gender, weight, height, birth date).
- Your chat history or other unrelated chat messages.
- Contacts list.
- Advertising identifiers for tracking/ads.
Note: Standard internet/network metadata (e.g., IP address) may be processed by servers as part of delivering requests and security logging.
We do not include such metadata as AI “input” for nutrition/receipt analysis.
5d) Consent & Controls
- Consent prompt: The first time you try to use an AI feature, the app shows an “AI Processing Permission” screen describing what data will be sent and to whom.
- No consent = no AI: If you decline, AI processing does not run and AI requests are not sent.
- Change anytime: You can enable/disable AI Processing from Profile → My Account → AI Processing.
6. Data Sharing (Other Service Providers)
We do not sell your personal data.
We may share data with trusted service providers only as needed to operate the App, such as:
- Cloud hosting & storage to store uploaded images, exports, and run backend services.
- Push notifications (e.g., Firebase Cloud Messaging) to deliver reminders and coach alerts if enabled.
- Google Sign-In if you choose Google login (basic account identifiers only).
- Maps & places (Google Maps Platform) for place search, autocomplete, and reverse geocoding when you use location features.
- Analytics & crash reporting to improve stability and performance.
- OpenAI for AI processing only after you grant in-app AI consent.
- Open Food Facts / nutrition databases for barcode and text-based food lookup (product identifiers and search terms — not your full profile).
- Apple (App Store / In-App Purchase) to process iOS Macrox Pro subscriptions and verify purchase status. Payment method details are handled by Apple under Apple’s privacy policy — Macrox does not store your card number.
We may also disclose information if required by law, to protect users, or to enforce our terms after a valid report or safety review.
6a. Subscriptions & In-App Purchases (iOS)
- On iPhone / iPad, Macrox Pro is sold as an auto-renewable subscription through Apple In-App Purchase (App Store).
- Apple processes the payment. Prices shown in the app are set in App Store Connect and may include applicable taxes.
- We store subscription plan, status, renewal/expiry timing, and store transaction identifiers so we can unlock Pro features and restore purchases to your Macrox account.
- Manage or cancel: iPhone/iPad Settings → [Your Name] → Subscriptions → Macrox. Cancel anytime; access continues until the end of the paid period unless otherwise required by Apple.
- Restore: use Settings → Subscription → Restore purchases (or Restore on the paywall) if Pro was bought with the same Apple ID but is not showing on your account.
- Refunds: request through Apple (search “Report a Problem” on Apple’s support site). Macrox cannot refund App Store charges directly.
- Deleting your Macrox account does not automatically cancel an App Store subscription — cancel in Apple Subscriptions separately if you no longer want renewals.
7. Chat, Discovery & Safety
- Request-accept chat: the first message to a new contact creates a pending request; the receiver must accept before ongoing messaging.
- Visibility: chats and groups are visible only to participants. You can block users, reject requests, clear chats, and report content.
- Discovery controls (free for all users): toggle discovery on/off, pause discovery (“take a break”), set max distance, same-gender filter, and city visibility (full city / state only / hidden). Manage these in Settings → Privacy & Safety.
- Distance display: we show approximate distance buckets (e.g., “<2 km”) — not your exact live coordinates to other users.
- Moderation: we may review reported content. Accounts with repeated valid reports may be hidden or suspended.
- Reports you file: you can view the status of reports you submitted in Settings → Privacy & Safety → Reports I've filed.
Privacy and safety controls are free — we never paywall blocking, reporting, or discovery privacy settings.
8. Communities
Macrox lets you create and join fitness Communities — shared spaces with a feed, group chat, and member list.
Communities are found under the Chat area in the app.
8a) Community data we collect
- When you create a community: name, description, optional rules, avatar, optional city, fitness tags, and public/private setting.
- When you join or participate: membership status, role (owner / admin / member), join date, posts you publish (text and images), reactions, and messages in the community group chat.
- Private communities (where enabled): join requests and approval status if the community is invite-only.
- Discovery: we may use your city, training tags, and activity signals to suggest relevant public communities. Private communities are hidden unless you are invited or already a member.
8b) Who can see community content
- Members only: feed posts, group chat, and the member list are visible to accepted community members (and community admins/owners).
- Public communities: name, description, member count, and tags may appear in community discovery before you join.
- Private communities: hidden from public discovery; access requires owner/admin approval or an invite.
- Blocked users: if you block someone (or they block you), you will not see each other's communities in discovery and cannot interact within shared communities where blocking applies.
8c) Community limits & advanced options
- Free users can create up to 2 active communities.
- Advanced community options such as additional creation limits or private (invite-only) communities may be enabled only in selected app versions or rollouts.
- Joining a community also adds you to its linked group chat — there is no separate chat-request step inside a community you have already joined.
8d) Moderation & safety in communities
- Community owners and admins can remove members, delete posts, and manage community settings.
- Any member can report a community, post, or member. Repeated valid reports may lead to content removal or community suspension.
- Communities with multiple unresolved reports may be automatically hidden pending review.
- Report status for reports you filed is available under Settings → Privacy & Safety → Reports I've filed.
8e) Leaving, ownership & account deletion
- You can leave a community anytime from community settings (owners must transfer ownership before leaving).
- If the last member leaves, the community may be archived.
- If you delete your account, your community membership is removed. Communities you owned may transfer to another admin or be archived if no admin remains.
- Posts and chat messages you sent may remain visible to other members, but your profile identity may be anonymized as described in Section 9 (account deletion).
9. Data Retention, Export & Deletion
-
Food logs: stored while your account is active so you can track history. You can delete individual food entries from the app; deleting a shared meal may remove it from chats it was shared into.
-
Before saving AI results: scan and receipt flows show a confirmation step — nothing is saved to your logs until you confirm.
-
Chats: you can clear chat history from your view. Messages you sent may remain visible to other participants unless removed by moderation or account anonymization (see below).
-
Progress photos, weight, water, coach data: retained while your account is active; included in account deletion (below).
-
Diagnostics: technical logs may be kept for a limited period for debugging and security.
-
Communities: membership records are removed when you leave or delete your account. Community posts and group-chat messages you sent may remain for other members until removed by moderation or anonymized after account deletion.
-
Download my data: from Settings → Privacy & Safety → Download my data, you can request a ZIP export (profile, logs, photos, messages you sent — including community group-chat messages). A secure download link is emailed within 24 hours. Limited to one request every 7 days. Links expire after 7 days.
-
Account deletion (30-day grace): from Settings → Delete Account (or email pri@eatease.ai), you can request deletion. Your account enters a 30-day grace period during which you may log in and cancel. After 30 days we permanently delete personal data including profile, food logs, weight/water logs, progress photos, saved meals, coach messages, and streak history.
-
Messages after deletion: messages you sent in other users' chats may remain, but your identity is replaced with a “Deleted user” label. Message text is not shown under your real name.
-
Communities you owned: ownership may transfer to another admin, or the community may be archived if no admin remains.
-
Legal retention: anonymized reports and minimal compliance records may be kept where required by law.
10. Security
We use reasonable technical and organizational safeguards to protect your data (such as secure transport and access controls),
but no system can be guaranteed 100% secure.
11. Your Rights and Choices
- Access & update: edit profile and tracking preferences in the app.
- Privacy & Safety: manage discovery, blocking, reports, and data export from Settings → Privacy & Safety.
- AI Processing: enable/disable anytime from Profile → My Account → AI Processing.
- Location: deny or revoke location permission in device settings, or enter city manually.
- Notifications: control push types in app settings and device notification settings.
- Food & inventory: delete food logs, saved meals, and inventory items you added.
- Communities: leave communities, report content, and manage communities you own from the Communities section in Chat.
- Data export: request a copy of your data (see Section 9).
- Account deletion: request deletion with a 30-day cancellation window (see Section 9).
- Subscriptions: manage, cancel, or request refunds for iOS Macrox Pro via Apple (see Section 6a).
12. Feature Availability
Some features (such as AI food scan, meal sharing in chat, barcode scan, expanded community creation, private communities, and selected advanced insights) may be limited, disabled, or rolled out gradually depending on your app version, account state, subscription status (Macrox Pro via Apple IAP on iOS), or region.
Core logging, privacy controls, blocking, reporting, and standard community participation remain available even when optional advanced features are not active.
13. Children's Privacy
The App is not intended for children under 13. We do not knowingly collect personal data from children.
14. Changes to This Policy
We may update this Privacy Policy from time to time. Any changes will be posted with an updated “Last updated” date.
